The processWhen you appoint Rettie & Co as your letting agent, there is of course paperwork to complete and statutory safety requirements to check.

We will carry out a fully detailed inventory, organise the keys and check the alarms. We will also guide your tenants through the rental process, making it as straightforward as possible for both landlord and tenant.

Paperwork

There is of course paperwork to be signed when appointing us as your letting agent.

We try to keep this to a minimum, but to ensure that we have all the necessary information to allow us to do our job professionally, and to allow us to comply with money laundering regulations, we ask that you complete the following:

Terms of business: This is your ‘contract’ with Rettie & Co. and itemises our agreed services and fee structure with you.

Client information checklist: This is your personal information as a landlord – your preferred contact details and address, bank details for payment of rental monies, Landlord Registration Number and proof of ID and address.

Property information checklist: This is the information on the property to be let. It includes location of various meters, stopcocks, safety contract and warranty details and any preferred contractors. If this is not completed you may incur unnecessary charges for contractors attending where you have prior arrangements already in place.

Renewal of statutory safety requirements

It is imperative that all safety requirements and legislation are met throughout the tenancy period. With our property management database system, we automatically diarise the renewal dates to ensure that the safety certificates are renewed on time, thus ensuring that your tenants are safe. If you would prefer to arrange the necessary certificates yourself, we can agree this in advance and send the reminders directly to you.

Inventory

We will create a fully detailed inventory of your property, which is issued to the tenants at the commencement of the tenancy.

The inventory forms part of the tenancy agreement and is a legal document itemising the list of contents and the condition. This is a vitally important aspect of the tenancy, and a poorly constructed inventory can lead to misinterpretation and confusion at the termination of the tenancy. We also take digital photographs for our own records, and will retake these again at the end of the tenancy.

Keys

We will hold two office sets of keys through the tenancy, and each tenant will be issued with a set as well (single tenants will be issued with two sets). We hold two office sets to cover repairs and any emergencies. We will be happy to arrange for any key cutting that is required and deduct the cost of this from your rental monies or maintenance float.

Alarms

Where an alarm is provided as part of the tenancy agreement, it should be serviced on an annual basis. It is not necessary to provide a maintenance and service contract for the alarm (unless your buildings and contents insurance policies state this), but if you do so these are the responsibility of the landlord.
