Edinburgh Lettings have an exciting opportunity for an experienced Portfolio Manager to join the team.

Purpose of the Role

The main aim of the Edinburgh Lettings Team is to ensure an exceptional customer experience is provided to all our potential and actual customers. As the principle point of contact for your landlords, you will be required to build quality, lasting client relationships. By working closely with the colleagues in your team to ensure the team deliver a best-in-class experience you also support Rettie achieving a market leading position.

As Portfolio Manager you will manage all aspects of the lettings and management process across your portfolio of properties and will be responsible for maximising the fee income derived from them, also ensuring you maximise the value of your clients’ assets. You will work collaboratively with your colleagues and ensure that our processes are constantly being improved in order that you can provide the best possible management service to your clients.

Key Responsibilities

Driving Portfolio Performance – to constantly improve the performance of the assets within your portfolio, retaining clients and promoting portfolio growth.

  • Ensuring 100% compliance with regulatory standards

  • Minimising void periods

  • Increasing rents mid tenancy in line with lease terms

  •  Minimising arrears

  • Promoting investment and upgrading works

  •  Effective management throughout duration of tenancy

Managing Administration – Full responsibility and accountability for all aspects of the lettings and management process across your portfolio (assisted by a portfolio administrator) including:

  • Full compliance management of all safety testing and the installation and maintenance of detection equipment

  •  Detailed client information collection and due diligence including money laundering verification

  •  Accurate and detailed property marketing accompanied with a high standard of marketing images

  • Effective management/overseeing of all tenant referencing / move in processes

  •  Detailed and objective client reporting following regular property inspections

  •  Efficient and diligent processing of and maintenance requests and contractor invoices

  •  Overseeing administration of HMO licensing issues including applications and renewals in portfolio

  • Efficient administration of all check outs, deposit deductions/releases, tenant swaps, early exits and ownership changes

  • Overseeing administration of utility notifications and the accurate processing of void period costs.

Key Requirments 






Education and Qualifications




  • Full, clean driving licence



Experience and Technical Skills


  • Detailed knowledge of the PRS
  • Detailed knowledge of the PRT legislation
  • Detailed knowledge of Edinburgh lettings market
  •  Proficient in the use of IT systems including MS Word, Excel & Outlook
  •  Experienced in the management of client relationships
  • Experience of conflict resolution and negotiation.



  • Previous management of a residential property portfolio under a portfolio management structure.
  • Use of REAPIT or experience using property software.
  • The ability to analyse the performance of residential assets and produce investment appraisals.
