Sales Administrator: Edinburgh Sales PT

Reports to: Sales Manager
Member of Edinburgh Sales Team

Key Responsibilities

Delivering exceptional serviceto assist the team in preparing marketing materials that are accurate and of a high standard of presentation and to deal with all general administration

  • Preparation of marketing material for sign off by the valuer/sales negotiator
    • Liaising with brochure suppliers, photographers and floor plan providers resulting in final draft of brochure
    • Adding property details, photographs and Home Reports to Reapit ready for sign off by the valuer/sales negotiator prior to launch
    • Preparation and submission of advert drafts for all property media advertising for sign off by valuer/sales negotiator
  • Handling incoming enquiries regarding brochure text change and picture placement by phone and email as required to support the team

Compliance to adhere to agreed processes within the branch in order to ensure all compliance requirements are met.

  • Responsible for adhering to the compliance tasks allocated to the sales administrator role in order to ensure
    • The accuracy of all property marketing materials
    • CPR & BPR 2008 compliance
    • Data Protection Act 2018 compliance

These tasks include:

  • Saving all compliance documentation into Reapit and the hard copy filing systems
  • Issuing and collecting the Marketing Materials Certificate to vendors
  • Updating the Compliance audit in SharePoint on behalf of the team
  • Responsible for ensuring accuracy of data input by yourself into Reapit, therefore ensuring the accuracy of management accounts and management reporting.
  • Responsible for adhering to an accurate and compliant electronic and paper based filing system.
  • Responsible for adhering to agreed procedures for managing phone calls within the branch to support the delivery of an exceptional service experience.

Technical skills

  • Proven ability to deliver excellent standards of administrative support under pressure
  • Advanced user of MS Office package
  • Prior experience of Reapit or a comparable database product.
  • Knowledge of the residential sales processes within the Scottish market
